Evolve Finance OS - Process Governance & Controls
Process Governance & Controls is a comprehensive control layer for Microsoft Dynamics 365 Business Central, built by Evolve Partners for organizations that need their finance processes to be compliant, consistent, and audit-ready- not by manual discipline. The module embeds preventive safeguards directly into everyday transactions, closing the gaps where errors, backdating, unauthorized changes, and inconsistent treatment arise. Every control is a system-level toggle, so you activate exactly the governance your organization needs

Document and date integrity
Invoice and document dates lock at the point of capture and cannot be retroactively altered, while posting dates stay flexible for legitimate adjustments. Purchase and sales document dates are stamped automatically at approval, so nothing pending review is ever backdated. Purchase orders lock once acted upon, enforcing a clean, traceable procurement trail.
- Date lock at capture - original invoice and document dates are preserved for a reliable audit trail
- Approval date stamping - documents pending review over days or weeks are never backdated
- Purchase order controls - orders lock after goods receipt, invoicing, or release
Ledger-to-subledger alignment
Posting group changes are blocked on vendors, customers, fixed assets, and items while an open balance exists - eliminating hard-to-detect reconciliation breaks before they occur. Product posting groups and VAT treatment are enforced at item level and cannot be subjectively overridden on individual documents.
- Zero-balance enforcement - posting groups can only change when the balance is clean
- Item-level posting groups - consistent G/L assignment and correct tax treatment on every transaction
- General posting group restriction - limit selections to what is relevant and jurisdiction-appropriate
Approval workflows for high-risk change
Vendor and customer bank account changes, recurring journal entries, and permission set modifications each pass through a defined approval channel before taking effect - so only released, verified changes reach your payment runs and your ledger. Recurring journals are held to the same rigour as purchase invoices.
- Bank account approval - only released, IBAN verified accounts are used in payment runs
- Recurring journal approval - contract-based postings validated before payout
- Permission change approval - access control changes reviewed, authorized, and auditable
Completeness and VAT compliance
Mandatory field configuration keeps incomplete records out of the system - critical for electronic invoicing, where missing fields cause rejections. Self-billing management identifies self-billing customers at master data level and reformats the relevant documents as information receipts, protecting against double VAT contribution.
- Mandatory field enforcement - complete vendor, customer, and document records at the point of entry
- VIES VAT validation - EU business partner posting blocked until the VAT ID is verified
- Self-billing management - automatic information-receipt formatting to prevent double VAT

Compliance

Confirmed means matched to a public authoritative registry. Claimed means the vendor or its listing states it, not yet cross-checked. A framework not shown was not found in any source we hold, which is not evidence against it. Not listed means a scoped registry check found no match for this vendor's domain: a No is a scoped registry check, not a compliance judgment. Confidence bands: 95% domain-verified, 90% registry-checked, 80% self-attested, 70% weak signal. Self-attested items marked “vendor's site” are gathered from the vendor's own website and are not verified by us.

Unknown means this listing does not publish a repository. It is not a statement that the code is closed, and a linked repository is not a claim that the publisher wrote it: the registry computes that relationship privately and does not publish it.
Evidence risk is the share of the build you cannot see before you deploy, not a security rating. Sign in to see the layer-by-layer basis for this band.
